Create A Sub-Workspace
Admins and owners can create new sub-workspaces directly from the Manage Sub Workspaces page.
A Create Sub-Workspace button is visible at the top of the page.
Clicking this button opens a multi-stage creation popup, where you can configure all details of the new sub-workspace step by step.
Key Behaviors:
- By default, all permissions for a new sub-workspace are set to false to ensure secure configuration.
You can complete each stage of the creation flow to define the name, members, settings, and permissions.
- General workspace rules and validation requirements apply during setup.
- Rename workspace
- Name url and owner rules
- After completing all stages, the new sub-workspace is created and added to the list
Step 1 Settings
Sub-Workspace Settings: Name, URL, and Owner Rules
As a workspace admin or owner, you have precise controls and validations to ensure sub-workspace names, owners, and URLs comply with system requirements.
Behavior and Validation:
- Name Field
- Maximum of 24 characters with a real-time character counter.
- Spaces count toward the character limit.
- Only the following characters are supported: A–Z, 0–9, and , . ( ) [ ] : ; " ! ? / & * + - _ = © ™ ® @
- Invalid characters trigger an immediate warning.
- Overflow is prevented while typing or pasting.
- The entered display name becomes the official workspace name in the Backoffice after creation.
- URL Generation
- Converts all uppercase letters to lowercase.
- Removes spaces entirely.
- Replaces any unsupported characters with underscores.
- Maintains the existing numeric suffix logic (e.g., -1, -2).
- Owner Field
- Displays the email address of the assigned owner.
- Clicking opens the user list, showing all users from the current workspace.
- You can also enter a custom email address to invite someone as the owner (without adding them as a workspace user).
- The field requires a valid email format and displays the hint text: "Insert owner email."
Step 2 Permissions
Sub-Workspace Permissions Management
View and manage permissions for each sub-workspace to control their capabilities and administrative options.
How it works:
- The Sub-Workspace Settings page includes a dedicated Workspace Permissions section.
- From here, you can view and edit the following permissions for each sub-workspace:
Available Permissions
- Can Create Sub-Workspaces (default: ON)
- Enables this sub-workspace to act as a channel workspace itself.
- All other permissions listed below are only active if this setting is enabled.
- Any changes are automatically reflected in the Backoffice.
- Can Call Its Sub-Workspaces' Members via Remote Support (default: ON)
- Allows users to view and initiate remote support calls with members of their sub-workspaces.
- Can Delete Its Sub-Workspaces (default: ON)
- Displays the Delete Workspace button in the sub-workspace management tab.
- Can Mirror Its Projects into Sub-Workspaces (default: ON)
- Enables this sub-workspace to mirror projects to its own sub-workspaces.
- Can Edit Expiration Date of Its Sub-Workspaces (default: ON)
- Allows editing expiration dates for sub-workspaces directly in the management tab.
Use these permissions to fine-tune which sub-workspaces can create their own structure, manage membership, and mirror content—ensuring you maintain the right level of control and flexibility across your organization.
Step 3 Project Selections
Sub-Workspace Mirrored Projects
You can view and control which projects are
shared from the main channel workspace into each sub-workspace.
How it works:
- The Sub-Workspace Settings page includes a dedicated Mirrored Projects section.
- This section lists all projects currently mirrored from your channel workspace to the selected sub-workspace.
- A Manage button near the section title lets you edit mirrored projects.
Managing Mirrored Projects
When you click Manage, a dialog window
opens with the following features:
- Project List
- Displays all channel workspace projects in an A–Z sorted list.
- Each project has a checkbox showing whether it’s currently mirrored:
- Checked = Project is mirrored to the sub-workspace.
- Unchecked = Project is not mirrored.
- Selecting Projects
- Click any checkbox to mirror or un-mirror that project.
- Use Shift+click to select or deselect all projects between your last selection and the current one (only applies to visible projects).
- A Select all button above the list selects all displayed projects.
- When all are selected, it changes to Unselect all.
- This button is hidden when the list is filtered.
- Searching
- A search field above the list filters projects live as you type.
- Results include any project names containing the search text.
- A Clear all button inside the search field clears your search input and updates the list without removing focus.
Saving Changes
- After updating your selections, you have two options:
- Update
- Saves and applies changes only to projects whose mirrored status changed.
- Closes the dialog.
- Updates the Mirrored Projects section immediately.
- On success, a toast notification displays: “Mirrored projects updated successfully.”
- Cancel
- Closes the dialog without applying any changes.
